Privacy Policy

How Lintelo handles personal information under the Privacy Act 1988 and the Australian Privacy Principles.

Lintelo Pty Ltd (“Lintelo”, “we”, “us”, “our”) operates the Lintelo platform at lintelo.com.au and its subdomains.

This Privacy Policy explains how Lintelo Pty Ltd collects, holds, uses and discloses personal information in connection with the Lintelo platform, and how you can access, correct or complain about it.

We are committed to handling personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). “Personal information” has the meaning given in that Act.

1. Who we are and who this policy covers

Lintelo Pty Ltd (ABN 17 700 284 537) operates the Lintelo platform at lintelo.com.au. Our registered office is 6/8 Nevilles Street, Underwood QLD 4119, Australia. You can reach our Privacy Officer at privacy@lintelo.com.au.

This policy covers personal information we handle about account owners and administrators, crew members and clients whose details are entered into the Platform, visitors to our website, and people who contact us.

2. Our two roles: platform customer vs. crew member

It matters whose personal information is involved:

  • For the account owners and administrators who subscribe to Lintelo, we decide how their account information is handled — we act as the entity responsible for it (a controller).
  • For the crew members, clients and site data that a subscribing company enters into its own workspace, that company decides what is collected and why. For that data we act largely as a processor, handling it on the company’s instructions to provide the Platform. If you are a crew member with a question about your information, the company you work for is your first point of contact; we will assist that company in responding.

3. The kinds of personal information we collect

  • Account details — the names, email addresses, hashed passwords and company details of owners and administrators, entered at signup and in settings.
  • Crew and client details entered by the company — names, contact details, licences and tickets, employment and pay-related fields, and client contact details, as entered by the subscribing company.
  • Operational and site data — dockets, pre-starts, machine and job records, and where the company uses those features: GPS/location stamps, photographs, and signatures captured on site.
  • Usage and technical data — log data such as IP address, device and browser information, and actions taken in the app, used to run, secure and improve the Platform.
  • Billing data — subscription and payment status. Payment card details are collected and handled by Stripe and are not stored on our servers.
  • Communications — correspondence when you contact support, legal or privacy.

We do not seek to collect sensitive information, and ask that you do not enter it into the Platform except where it is genuinely necessary for the record and you have the right to do so.

4. How we collect personal information

We collect personal information: directly from you when you sign up, configure your account or contact us; from your Authorised Users as they use the Platform; automatically through your use of the Platform (usage and technical data); and from our service providers, such as Stripe for billing status. Where a company enters personal information about a third party (such as a crew member or client), it collects that information and provides it to us to process.

5. Dealing with us anonymously

Where lawful and practicable, you may deal with us anonymously or using a pseudonym — for example when making a general enquiry. However, we cannot provide the Platform, which is an account-based service, without the account and contact information needed to operate and secure it.

6. Why we collect, hold, use and disclose it

  • To provide, maintain, support and improve the Platform and its features.
  • To authenticate users and keep each company’s workspace secure and isolated.
  • To process Subscriptions and payments (through Stripe).
  • To communicate with you about the service — account, security, billing and support matters.
  • To diagnose problems, prevent, detect and respond to abuse, fraud and security incidents.
  • To comply with our legal obligations and to establish, exercise or defend legal claims.

We use personal information only for the purposes for which it was collected, for reasonably related purposes you would expect, or as otherwise permitted or required by law.

7. Direct marketing and how to opt out

We may send you service-related messages (which are not marketing) about your account, security and billing. We may occasionally tell you about features or offers relevant to your business; where we do, you can opt out at any time using the unsubscribe link or by emailing privacy@lintelo.com.au. We do not sell personal information, and we do not use crew or client data entered by a company for our own marketing.

8. Who we disclose it to (subprocessors)

We do not sell personal information. We disclose it only to the service providers we use to run the Platform, listed on our Subprocessors page (for example Stripe for payments, and our hosting, delivery and email providers), to a company’s chosen integrations (such as Xero) at its direction, to our professional advisers under confidentiality, and where required or authorised by law or to protect the rights or safety of any person. We require our providers to protect personal information consistently with this policy.

9. Overseas disclosure

Some of our subprocessors — including Stripe — may store or process personal information outside Australia (for example in the United States). Before disclosing personal information to an overseas recipient, and where APP 8 applies, we take reasonable steps to ensure the recipient handles it consistently with the APPs, or otherwise rely on a permitted exception. 10. Where and how we store and secure it

Each subscribing company’s data is held in its own isolated per-tenant database, so one company can never see another’s records. We take reasonable steps to protect personal information from misuse, interference and loss, and from unauthorised access, modification or disclosure — including per-tenant database isolation, hashed passwords, per-tenant signed session tokens, encryption in transit (HTTPS), access controls and regular backups. No system is perfectly secure, but we work to keep risk low and to respond quickly to incidents.

11. Keeping information accurate

We take reasonable steps to ensure the personal information we hold is accurate, up to date and complete. Much of the data in the Platform is entered and maintained by Subscribers and their Authorised Users; please keep your account details current and let us (or your company) know if something needs correcting.

12. How long we keep it

We keep personal information only as long as needed for the purposes described in this policy and to meet legal obligations. When a Subscription ends, the company’s tenant database is retained for a limited window (by default 30 days) to allow reactivation or export, then archived and deleted, except where the law requires longer retention. Backups are cycled on a rolling basis. See the Terms of Service for the account-level position.

13. Cookies and analytics

We use only essential cookies and local storage needed to run the app (such as sign-in tokens and the offline write queue). We do not run advertising or cross-site tracking cookies. See the Cookie Notice for details.

14. Accessing and correcting your information

Under APP 12 and APP 13 you may request access to the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date, incomplete, irrelevant or misleading. Contact privacy@lintelo.com.au. We will respond within a reasonable time and may need to verify your identity. There is no charge to make a request; we may charge a reasonable cost for giving access in some cases. Where the information was entered by a subscribing company (for example crew records), we will direct or assist the request to that company as the party that controls it.

15. Data breaches

We maintain procedures to detect, contain and assess data-security incidents. If a data breach is likely to result in serious harm to affected individuals, we will comply with our obligations under the Notifiable Data Breaches scheme in the Privacy Act, including notifying affected individuals and the Office of the Australian Information Commissioner where required. Where we act as a processor for a Subscriber, we will notify that Subscriber without undue delay so it can meet its own obligations.

16. Children

The Platform is a workplace tool intended for businesses and their workers, and is not directed to children. We do not knowingly collect personal information from anyone under the age required to work in the relevant role.

18. How to complain

If you have a concern about how we have handled your personal information, please contact our Privacy Officer first at privacy@lintelo.com.au so we can try to resolve it. We will acknowledge your complaint and aim to respond within a reasonable time.

If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner (OAIC): oaic.gov.au, phone 1300 363 992.

19. Changes to this policy

We may update this policy from time to time. The current version is always shown here with its “Last updated” date; for material changes we will take reasonable steps to notify account owners.
